Student Employment Information
Workday is your one-stop hub for managing important aspects of your student employment. Use Workday to enter and submit your timesheets, access important employment documents, complete required training and update your personal information. Log in regularly to stay informed, complete important tasks and ensure your employment records remain up to date.
Requirements and Restrictions
Students must attend an accredited higher education university/college and be in good standing.
All student hourly positions are at-will positions and may be terminated at any time provided the reason is not prohibited by law. It is the university's position that the University of Wisconsin System Operational Policy: WE 3 applies to student employees in the same manner as they apply to other university employees.
Student Employee Hours Guidelines
Total hours per week include all jobs together.
- All student employees, excluding international students, are eligible to work a maximum of 25 hours per week between all positions during the semester.
- International students are eligible to work a maximum of 20 hours per week between all positions during the semester.
- During winter and spring breaks, students may be able to work up to 40 hours per week.
- During the summer break, students cannot work more than 12 weeks at 30 or more hours per week during the summer period.
- If you have more than one campus job, please coordinate any hour concerns with all supervisors.

Before Your First Day
Verification of Form I-9
Remember your documents – you need them before you can work on-campus!
If you are planning to work on campus, there will be documents that you will need to provide to complete an I-9 before you can start a job. Review those documents and plan to have them with you prior to your onboarding date. Photos or photocopies cannot be accepted.
Once you have been selected for a position, your supervisor will notify Human Resources. After HR has entered your information into Workday, you will get a notification to add your personal information, complete your direct deposit information, complete section 1 of your I-9 and any other task assigned through your Onboarding Dashboard in Workday. If your position requires a criminal background check, you will also receive an email directly from HireRight. The invitation will expire after five days. Please check your spam/junk folders so you don’t miss these deadlines.
Completing your I-9
The Form I‑9 is a federal requirement and must be completed within three days of your start date. To ensure a smooth onboarding process, it is recommended that you complete Section 1 before your first day. You will receive a task in Workday to complete Section 1 of your I‑9. After submitting it, you must visit the HR Office in North Hall, Room 218 to complete Section 2. Please remember to bring your original identification documents, as copies cannot be accepted.
If it is not possible to complete this before or on your first day of work, please communicate with your supervisor and HR office to adjust your start date.
Criminal Background Checks (CBC)
If you are hired in a Position of Trust (POT), a background check is required.
- Work Start Requirements: You must not begin work until a successful background check has been completed and received.
- Background Check Process: You will receive an email invitations from our CBC vendor, HireRight, to complete your background check.
- Invitations expire after five days.
- Reminder emails will continue to be sent until you submit the required information to HireRight.
Federal Work Study
Work Study is a financial aid award. Your Work Study award is not a guarantee of a job. You will still need to apply, be hired and complete any hiring process for the position. You’ll be paid via direct deposit every two weeks. For additional information on Work Study and how to apply, visit the Financial Aid website.
Mandatory Training
To ensure a successful start and ongoing compliance, all new employees are required to complete assigned mandatory training within their first 30 days of employment. Assigned mandatory training will be available in Workday. Employees are encouraged to begin and complete their training as soon as possible after it is assigned.
