Contract Retention

A copy of all contracts or agreements to which UWRF is party must be retained by our campus open records custodian in the Division of Finance and Administration.

Once a contract or agreement has been signed by all parties, please email a copy to along with the basic contract information requested in the Contract and Agreement Cover Sheet. You may either complete and attach the cover sheet to the email or provide the information in the body of the email.

Those departments with higher contract volume are encouraged to save the contract as a .pdf file to T:\Collaboration\Contract Dropbox, using the vendor name as the file name.  The coversheet must be saved using the same filename, but in the form's original .xls format.  PDF Files saved to the T drive will be automatically uploaded to Perceptive Content (formerly ImageNow), where they will wait in queue for Purchasing staff to index them (using coversheet information) for future look up and long-term storage purposes.

If you do not have access to a scanner, please send the paper contract and cover sheet via inter campus mail to Purchasing Services (Contracts), NH 8.
