Spring Move Out

Move Out

Friday, May 10, 2023 at 10:00 a.m.: All Residence Halls Close

You are required to check out of your room 24 hours following your last final exam or by 10:00 a.m. on Friday, May 10, whichever comes first. Residence Life does not have the ability to house students beyond closing.

Check Out Procedures

  • Attend your floor meeting to learn about spring closing procedures
  • Read the bulletin board and room checklist on your door
  • Check out: Traditional halls and Ames Suites
    • Sign up for a check out time with your RA at least 24 hours before you plan to leave. If your RA is unavailable, sign up with another RA.
    • If you are the first roommate to check out, it is helpful to arrange to have your roommate present at your check out time to help determine who is responsible for any damages.
    • During your appointment, a staff member will review your room for cleanliness and damages.
    • Staff will take your key and lock your space at the end of your check out. Failure to return your key at check out will result in a re-key charge. Residence Life does not accept keys mailed back after a check out appointment is complete.
  • UPDATED: Check out - South Fork Suites
    • All individual suite members will place their keys in the individual fast check out envelopes they receive, and drop those envelopes in the intercampus mail slot in Lydecker (next to the Ames Suites mailboxes near the parking lot entryway). Failure to return the room and/or suite key will result in re-key charge(s).

Prepare to Check Out

Students who do not properly check out following the prescribed steps will be assessed an improper check out fee of $25 in addition to any room damage/cleaning charges.

The following description should be used as a guide to follow prior to checking out of your room:

  • Remove all personal belongings. Available moving bins will be in the hall lobby.
    • Take your bike home. Any bikes left after the residence halls close will be donated.
    • If you rented a bike locker, turn the bike locker key when you check out with a hall staff member.  
  • Remove all items from your mailbox.
     
  • Return all university property to its original order and location (see room diagrams below).
     
  • Room cleaning guidelines:
    • Walls/Ceiling/Mirrors: Remove all posters, tape, stickers and adhesives. Clean marks and adhesive residue off all surfaces.
    • Floor: Sweep then mop or vacuum the floor. Do not sweep anything into the hallway
    • Door: Remove all door decorations, message boards, stickers, and tape from both sides. Clean all writing, marks, and adhesive residue off both sides.
    • Windows & Screens: Remove all tape, stickers, and adhesive residue. Close both sets of Windows. Close Blinds or Roller shades.
    • Furniture: Bed can be lofted or unlofted. Clean and Wipe down all furniture surfaces, including inside of drawers. There should be no stains, black smudges, tape, or sticky spots.
    • Defrosting freezer takes 24 hours! Turn temperature control dial to the “0” position. Unplug the unit and leave both doors propped open. Remove all food and beverages. IMPORTANT: Do not use any object to remove the frost/ice, as this will cause a puncture of the unit that cannot be repaired, so you would be charged for replacement cost of the unit ($500+). Put a large towel in the freezer to absorb the water while ice is melting (ask your custodian if you don’t have a towel available).
    • Refrigerator: Dry out and wipe clean the inside of the fridge and freezer. After it is defrosted and cleaned, leave unplugged and door propped open. 
    • Microwave: Clean the inside walls and the plate. Wipe clean on the outside.
    • Wastebasket & Recycling Bin: Take out ALL trash and recycling. Clean trash and recycling bins.
  • South Fork Suites common area guidelines:
    • Living Room: Vacuum furniture under and between cushions, as well as the floor.
    • Windows: Must be free of any signs, stickers, and tape. Remove and clean all adhesive residue. Shut the window and blinds.
    • Kitchenette: Clean out all cabinets, cupboards, and counters. Remove all food from refrigerator and freezer. Clean the fridge and freezer. Remove all trash and clean trash bin.  Sweep and mop floor.
    • Bathroom: Remove all belongings from cubbies/vanity area. Clean all cabinets, shelves, countertop, and sink, shower, shower curtain, and toilet. There should be no stains, hair, or debris left on any surface. Sweep and mop floor. Remove all trash and clean trash bin.
    • Closets/Hallway/Suite Door: Vacuum floors, clean shelves in closet. Clean both sides of the main suite door. All surfaces should be clean of any residue, stains, marks. Peephole should be present in the door.

 

Damages

Any damages or cleaning charges will be applied to your eSIS account.

Staff will use the Room Condition Report (RCR) to compare the condition of the room from time of move in to the time of your check out. Any damages found that were not specified on the RCR when you moved in will be charged to your student account.

If it is not known which roommate is responsible for the damage, the charges will be divided equally between rooommates. If applicable, you will receive an email to your UWRF email account outlining any charges.

Exam Week Quiet Hours

Exam Week Quiet Hours will begin at 1:00 a.m. on Sunday, May 5 and end at 10:00 a.m. on Friday, May 10. During this time, noise should not disrupt residents of the community, including students on the floors above and below. A courtesy hour is designated each day between 5:00 - 6:00 p.m.

Mail

  • The last day of operation for the Hathorn Mail Center will be Wednesday, May 8 from 12:00 - 4:00 p.m.
  • Any mail not taken from mailboxes and any packages not picked up from the Hathorn Mail Center will attempt to be forwarded, but is not guaranteed.
  • The last day of letter delivery to the residence halls is Wednesday, May 8.
  • The last day of letter pickup from the residence halls is Friday, May 10.

Meal Plan

  • The final meal provided through the Spring 2024 meal plan ends on Thursday, May 9, 7:30pm

Bike Lockers

  • If you rented a bike locker, you must remove the bike from the locker. Bikes left behind will be donated.
  • If you rented a bike locker, turn the bike locker key when you check out with a hall staff member.  

Don't Throw It, Donate It

Boxes are available in each hall lobby to collect non-perishable food, clothing, pots, pans, etc.

Larger furniture items can be donated on Wednesday, May 8 from 4:00-6:00 p.m.

  • Between May and Prucha Halls
  • Hathorn Hall lot G lot near the dumpster
  • Between McMillan and Grimm Halls
  • South Fork Suites Conference Room
