Cover Letter Builder
 

Letters play a very important role in a job search. They serve as an introduction to your resume, an inquiry about possible vacancies, a request for information or a follow-up to an interview. Many job seekers concentrate their efforts on developing a resume, but dedicate little time to writing effective letters. While a resume is important, a letter is another opportunity to introduce yourself and market your qualifications to a potential employer. Below are 2 types of cover letters.

1.  APPLICATION LETTERS/COVER LETTERS

This type of letter is used to apply for SPECIFIC positions and accompanies your resume. It gives you an opportunity to introduce yourself to an employer and provides a link between the job and the skills you have to offer that position.

  • A letter should inform the reader why he or she is receiving your resume. If you have already spoken to them by phone or in person, note this in your letter. Hiring officials talk to many applicants each day. Do not assume they will remember you.
  • An application letter should give detailed information about your qualifications without repeating information from your resume verbatim. Instead, state the value of your experiences, education, or personal qualities. Ask yourself "What have I learned from these experiences?" Then relate these experiences to the skills you can provide to the employer. 
  • Emphasize what you can do for the employer, not how you will personally benefit from being hired for the job. 
  • When applying for a specific position, your letter should explain how your qualifications match the qualifications listed in the job posting. The closer a match there is between the employer's requirements and your background, the more likely you will be contacted for an interview.
  • Letters should be professional, yet written creatively enough to attract the attention of the reader. If a position is widely advertised, an employer might receive over 100 letters and resumes. A well-written letter could determine whether or not your resume will be reviewed.

2.  COVER LETTER OF INTEREST / PROSPECTING LETTER

Letters of interest are sent to organizations to investigate POSSIBLE job vacancies. State your reason for inquiry in the letter. How did you find out about the organization? What prompted you to send a letter? Did you receive a referral from someone who works at the organization?

  • The central paragraphs will be much the same as a cover letter / "application letter". Provide examples of your qualifications to persuade the employer to consider you for a position.
  • It is important to follow these letters with a phone call, since you may never receive a response if no positions exist. In your letter, state the day you will be contacting the person. Then make sure you follow-up as promised. Allow 1 to 1 1/2 weeks from the time you send the letter to the day you will make contact.

Middle paragraph(s): Your goal here is to show how you can be useful to this particular organization. Describe what strengths you have to offer this employer. You might use one of the following approaches:

  1. Illustrate the relationship between your skills and experience and the position for which you are applying.
  2. Describe your previous accomplishments as they relate to the position.
  3. Identify three reasons for the employer to consider you for the position.

Refer the reader to your enclosed resume for additional information.

Closing paragraph: End your letter by clarifying what will happen next and how they can most easily reach you. Whenever it is possible, you want to take the next step yourself. You might say, "I look forward to meeting with you to discuss my qualifications in more detail. I will call you on ________ to arrange a time."

THE COVER LETTER - BEGINNINGS, MIDDLES AND ENDS

The following statements provide ideas to assist you in creating your own cover letter.

#1 - FIRST PARAGRAPH

  • I am interested in a (type of work) position in your (company, agency). I believe that my interest, experience and education support my ability to learn and produce in this area.
  • I am interested in applying for a (teaching position, opportunity in your school district). I will be/am certified to teach (subject or grades).
  • My educational background and experience support my sincere interest in a career in (Marketing). I am interested in a challenging opportunity with your firm, affording training and eventual advancement in (Marketing) Management.
  • Would you kindly send me an application for a teaching position in your school district. I will graduate in May (year) with a (double) major/s in , and will be certified to teach (subject, grades).

COVER LETTER CRITIQUING GUIDELINES

Does your cover letter meet the following criteria?

Layout/Appearance:  

  • Always type your letters, or pay someone to do it for you. Because of wider access to computers and printers, employers expect your letter to be printed in a quality, professional-looking font. Adhere to the block style format for business correspondence (double-space between paragraphs; text flush to the left ---seek examples if you are uncertain about layout and spacing!) _____
  • Typos, misspellings and grammatical errors can leave a negative impression with employers and cause your application to be rejected. Have you proofread to make sure your letter is error-free? _____
  • Have you signed your letter at the bottom of the page? _____
  • Have you printed your letter on quality paper that matches your resume? (When possible, match the heading of your resume and the heading of your cover letter for a professional look.) _____
  • Cover letters should be concise and simple, yet still fully discuss your qualifications. Have you kept your letter to one page, if possible? _____  

Writing Style:

  • Have you avoided beginning all your sentences with the word "I"? (Place a greater emphasis on the word "you" when possible!) _____
  • Avoid the phrase "I am writing" in your opening paragraph, as this is understood in a letter. _____
  • Lengthy paragraphs are overwhelming to read. Have you divided text into several paragraphs when necessary to keep paragraphs short? _____
  • Have you used transition phrases and topic sentences to improve the flow of the letter between paragraphs? _____

Overall Impression/Marketing Effectiveness of Content:

  • Is your letter addressed to a specific person, and have you spelled the individual's name correctly? (If the job posting did not indicate a name, you may need to call the organization to obtain this information.) _____
  • Is your letter individually tailored to the position/organization, emphasizing how your specific qualifications match the employer's needs? _____
  • Have you used factual statements regarding an organization rather than flattery to gain attention of the employer? _____

  • Do not oversell yourself or appear too desperate. Phrases such as "I will work for free if you give me the chance," or "I will take any job you have available" are not effective. _____
