Subject: Licensing of UWRF Registered Marks

1.0 POLICY/PURPOSE:

To establish local policy and procedures for all usage of our University registered marks and to insure consistency regarding the collection of royalties.

2.0 OVERVIEW/BACKGROUND:

No previous policy regarding licensing of registered marks.
Past Practice has been self-licensed and contracting with outside vendors since 1991.
Letter from Board of Regents of the University of Wisconsin System dated 2-20-91.

3.0 UNIVERSITY RESPONSIBILITIES:

Office of the Vice Chancellor for Administration and Finance (Licensing Manager)
Publications Office

4.0 DEPARTMENT/UNIT RESPONSIBILITIES:

Department Chairs and Unit Directors are responsible for on-going adherence to the policy and to insure that all faculty, staff, students, and constituents abide by the policy.

5.0 PROCEDURE:

5.1 Permission is required to reproduce university marks on merchandise—whether for free distribution or resale—from the Office of the Vice Chancellor for Administration & Finance (Licensing Manager).

5.2 University marks are registered with the State of Wisconsin by the Office of the Vice Chancellor for Administration and Finance on a ten-year cycle.

5.4  Every request must complete the Trademark Approval and Royalty Waiver form that includes the artwork to be reproduced. This includes both off-campus vendors as well as on-campus student organizations, administrative offices and academic departments. This form is sent to the Office of the Vice Chancellor for Administration and Finance for approval in conjunction with our Publications Office.

5.5  ONLY licensed vendors may produce items bearing the university marks. There is no charge to become a licensed vendor, and there is a current list on our web site.

5.6  Items bearing university marks that are given away are usually exempt from a royalty fee. If the item is for resale, the vendor will add a royalty fee to the production cost; and licensed vendors pay a royalty fee of 7.5% to the university on a quarterly basis.

5.7  Once the vendor receives our approval, the vendor may produce and sell the merchandise.
