Subject: Athletic Camps and Clinics

1.0 POLICY/PURPOSE:

To attract athletic campus to the University of Wisconsin-River Falls campus which will provide coaches with additional salary, revenue for the University, revenue for Health and Human Performance (H&HP), recruitment of students, and increase public relations with the community.

2.0 OVERVIEW/BACKGROUND:

2.1 University-sponsored athletic campus have either been run independently or through Conference and Events (C&E) or Extension. As independents, coaches were responsible for insurance, marketing, promotions, mailing, registration, rented University facilities and could make personal profits from the camp. Through Extension and C&E, insurance and the above services were provided by the University. In the 1996-97 academic year, camps and clinics became the responsibility of the Athletic Department under the supervision of the Director of Athletics or designee. The Athletic Department will administer all aspects of all athletic camps and clinics operated by on staff athletic personnel.

3.0 UNIVERSITY RESPONSIBILITIES:

3.1 The Conference and Events Director will be responsible for:
1. Coordinating all Rodli food service and Residential Services activities relative to camps and clinics.
2. Billing the individual camps and clinics for room and board services.
3. Assisting with the registration of all campers for Residential Services and Rodli Commons.
4. Coordinating with the Associate Athletic Director all activities relative to Residential Services and Rodli Commons.

4.0 DEPARTMENT/UNIT RESPONSIBILITIES:

4.1 The Athletic Director has designated the Associate Athletic Director the following responsibilities:

1. Approving all camps and clinics.
2. Coordinating with the Conference and Events Office all food service and residential services and registration activities.
3. Approval of all payroll activities.
4. Establishing a policy for the collection of all fees.
5. Payment of all bills.
6. Approval of camp brochures
1. Each camp has responsibility for marketing and distribution of their camp.
7. Establishment of a fee structure for reimbursement to H&HP and all administrative fees involved.
8. Making sure all camps and clinics are conducted in accordance with NCAA and WIAA rules and regulations.
9. Distribution of all camp profits to the proper units.
10. Working with the Budget Director, through the Athletic Director, for the payment of all camp related bills.

4.2 Camp Directors will coordinate the following with the Associate Athletic Director, Knowles Complex Director, and the Conference and Events Director.

Camp T-Shirts
Camp Registration
Hiring of All Coaches
Camp Refunds
Camp Data Base, Mailings, etc.


5.0 PROCEDURE:

5.1 The policy for determining salary needs will be based upon:

1. Revenue generated by the camp.
2. The amount of hours spent during the camp=s operations and in preparation time.

5.2 Coaches cannot receive more than full summer school salary. State guidelines will be used to determine this amount.
5.3 Camps with limited enrollment will be negotiated based upon the revenue generated.
5.4 All camps and clinics will be conducted in accordance with stated policy and procedures in the Knowles Handbook when Knowles is in use.
5.5 An annual review of all camps will be conducted by the Director of Athletics.
