Moving Out


End of Year Move Out

CLOSING DATE

You are required to check out of your room 24 hours following your last final exam or by noon on Friday, May 13, whichever one comes first. Residents involved in Commencement ceremonies must be out of the residence halls no later than 6:00 PM on Sunday, May 15. There will be no exceptions. If you are not checked out by the appropriate date and time you will be charged an improper checkout fee.

CHECKOUT PROCEDURES

  1. Attend floor meeting
  2. Schedule check out appointment
    • You will need to sign up for a time with your RA. You should schedule the appointment at least 24-hours before you are planning to checkout, not schedule the appointment on the day you are wanting to leave.
    • If your RA is unavailable, sign up with another RA.
    • If you are the first roommate to check out, it is helpful to arrange to have your roommate present at your check out time to help determine who is responsible for any damages that may be found.
  3. At your check out appointment with staff member
    • The staff member will come to your room and look for damages and to see if it has been cleaned and all steps have been completed. If they find cleanliness issues they will have you address them and then need to recheck your room.
    • The staff will take your key and lock your space at the end of your checkout. If you do not turn your key in at your check out time you will be charged for a recore, no exceptions.
  4. After all students have checked out, staff will go back into each room to do a final once over now that all belongings are removed. Any new damages found could be added to your RCR.

Preparation for Checkout

By the time of your check out you will need to have the following completed:

  1. Remove all personal belongings
  2. Room Checklist:

Walls/Ceilings/Mirrors

      • Remove all posters, tape, stickers and adhesives
      • Clean marks and adhesive residue off wall

Floor

      • Sweep, vacuum and/or mop the floor. Do not sweep anything into the hallway.

Room Door

      • Remove all stickers/tape, sides of the door
      • Clean off all writing/marks and adhesive residue

Windows/Screens

      • Close and lock windows
      • Remove all tape, stickers, and adhesives

Furniture

      • Return bedrails checked out at the beginning of the year to the front desk (exception: Grimm, Stratton, Center Hathorn, and Ames)
      • Unloft bed (except Hathorn Center rooms) and place loft ends on the mattress
      • Mattress spring needs to be set on the 4th rung from the top of the bed end
      • Return all furniture to its original move-in day location
      • Empty all drawers and wipe them out
      • Remove all tape, stickers, and adhesives
      • Wash all furniture surfaces - chairs, desks, dressers, window sills etc. There should be no stains, black smudges, tape, or sticky spots left.

MicroFridge

      • Remove all food.
      • The last student to leave must defrost (this process takes a while so you will need to start prior to the day of your checkout), dry out, wipe clean the inside of the fridge and freezer. Do not use any object to remove the frost/ice, this will cause a puncture of the unit and you being held responsible for the cost. This includes dumping the water out from the tray located under the freezer.
      • After defrosting and cleaning the fridge leave it plugged in and set on level 3.

Trash

      • Must be taken to the outside dumpster. Do not place trash in the bathroom or hallway. Empty and clean wastebasket and recycling bin.

Failure to complete these tasks may result in charges to your student account.


DAMAGES

Staff will use the Room Condition Report (RCR) from the beginning of the year to compare the condition of the room at the time of your checkout. Any and all damages found that weren’t specified on the RCR when you moved in, other than normal wear and tear, will be recorded and charged to you. If it is not known or cannot be resolved which roommate(s) is/are responsible, then the charges will be equally divided between roommates. An improper checkout charge can include but is not limited to: not checking out with staff, not having your room set up per instructions, and not having bed unlofted. If damages are found, the amount will be charged to your University account. An email will be sent to your UWRF email in June explaining the charges. You can find a list of damage cost on page 26 and 27 of the Residence life Student Handbook.

 

Move Out During Academic Year

All students moving rooms or moving out of the residence halls during the academic year must receive approval from the Department of Residence Life. Students who withdraw from UWRF are required to move out of the residence halls within 48 hours withdrawing.

Checkout Steps

All students must schedule a check out appointment with the appropriate hall staff member. You will need to have scheduled your appointment time/date prior to the day you are wanting to leave to ensure the staff can be there. 

The residence life staff member will check to ensure your room is cleaned, furniture returned to the original layout, and catalog any damages. Staff members will not check the room until the student has completed cleaning the room and have moved out all of their belongings.

The following description should be used by students as a guide to follow prior to checking out of their room:

  1. Remove all personal belongings.
  2. Return all University property to its original order and location.
    • Unloft the bed (Except in Hathorn Center or Ames). Rubber mallets are available at the front desk to help in this process.
  3. Clean room - this includes the following:
    • Walls/Ceilings/Mirrors: Remove all posters, tape, stickers and adhesives and clean marks and adhesive residue off all surfaces.
    • Floor: Sweep, vacuum and/or mop the floor. Do not sweep anything into the hallway.
    • Door: Remove all stickers/tape from both sides of door and clean off all writing/marks and adhesive residue.
    • Windows/Screens: Close and lock windows, and remove all tape, stickers, and adhesives.
    • Furniture: Empty all drawers and wipe them out, remove all tape, stickers, and adhesives.
    • Micro-fridge: Remove all food.
    • Wash all furniture surfaces - chairs, desks, dressers, window sills, etc. There should be no stains, black smudges, tape, or sticky spots left.
    • Wastebasket/Recycling Bins: Empty and clean.

Improper Checkout

This includes, but is not limited to, the room not being ready, resident not checking out correctly, improper arrangement of furniture, loft not being taken down. The administrative fee associated with an improper checkout is $50.
