What’s on your calendar?

Since migration on June 12, 2011, access to Outlook calendar has been enabled. Access to Oracle calendar is disabled. The Items that were migrated are: 13 months of historical data and everything forward, faculty class schedules through fall 2011, notes, events, tasks, and resources.  The following items were NOT migrated: student calendar data and permissions (delegation rights). 

Another important note concerning faculty class schedules for fall. If any changes were made to the class schedules after June 12 in eSIS, these are NOT reflected on your calendar.

How do I access my Outlook calendar?

Open Outlook (either on the Web with OWA or the Outlook client on your desktop) and choose calendar on the lower left navigation pane.  The client versions look and behave very similarly.

What can people see on my calendar?

By default, anyone who views your calendar can only see “free/busy” time. This means, if time is blocked off on your calendar for something, they can only see that you are “busy”.  You can adjust this by changing the permissions.  In OWA you cannot set any permissions; this can be done in the client only.  To set permissions in Windows, choose the “home” tab and then “Calendar permissions." Another option is to right click and choose properties, then permissions. On a Mac, right click on your calendar in the navigation pane (left side), choose “folder properties” and then “permissions” tab.

How do I create a meeting on my calendar?

Outlook has two ways to create meetings on your calendar.  Appointments (used for personal items on your calendar) or Meeting Request (used to invite others) are commonly used to create items on your calendar. To begin adding items on your calendar simply use the icons on the menu ribbon.  (In OWA choose “new” and then whatever option):

How do I change my view of the calendar?

In the view tab ribbon, the icons in each section allow you to specify advanced viewable settings:

The “view settings” icon (and “other settings” button) will allow you to change the time intervals from the default of 30 minute time slots.

How do I view another person’s calendar or a resource?

Outlook 2010: From the home tab, choose “open calendar”. Search for the name via the address book (contact) or room list (resource). The person’s calendar will be added to your view and also in the navigation pane on the left side panel:

Outlook 2011 (Mac): you are unable to view another person's calendar unless they have given you permissions using the "open calendar" icon. However, if you create a meeting, invite other people and then check the "scheduling assistant" tab, you'll be able to see what's on another person's calendar.

In OWA, to open someone else’s calendar, choose “share” and “add calendar” :

Do people receive notification when I’ve scheduled something on their calendar?

Yes, people receive an email when you schedule a meeting on their calendar. They can choose how to respond accordingly: accept, suggest different time, or decline. If you own a resource or meeting room, you will be notified via email if folks reserve times in that resource. All reservations that are requested on resources are placed in the time block as temporary until you respond to the request.

We recommend that you DO NOT delete an email message connected to a calendar appointment. This may have adverse effects and will probably delete the meeting from the calendar in most cases.
